OLD COVE YACHT CLUB DATA PRIVACY POLICY

Old Cove YC needs to process certain personal data in order to do important things like manage your membership, run racing events, take lesson and training registrations. Old Cove YC is committed to protecting your privacy. We have established this Privacy Policy to explain when and why we collect personal information about you, how we use it and how we keep it secure and your rights in relation to it. This Privacy Policy is an integral part of the Old CoveYC ’s ByLaws. We reserve the right to amend this Data Privacy Policy from time to time without prior notice. You are advised to check this page for any amendments.

We collect personal information when you:

      (1) join, or apply to join, the Old Cove YC;
      (2) join or participate in, or any child for whom you are responsible, joins or participates as a member in any of our sport velopment programs;
      (3) become an Old Cove YC instructor or coach.

What information do we collect?

Common information we ask for includes:
      (1) Your name, address, e-mail address and phone number in order to contact you and manage your membership in Old Cove YC;
      (2) for those participating in Old Cove YC junior sailing and other youth or adult training programs, participant age and details of any relevant medical conditions which could affect your participation (which will only be collected when you have provided your express consent) as well as name, address, email address and phone number of your next of kin and/or emergency contact;
      (3) Photos and videos of you, your dependants and your boats;
      (4) for those applying to join Old Cove YC as instructor or staff member, details of any relevant educational and sail training records, details of your participation and performance in sporting events and competitions, and details of your employment history.

Why do we collect this information?

Old Cove YC does not collect or record names, addresses, phone numbers, or other personal information on our website, unless such information is voluntarily submitted for membership applications and renewals, for junior sailing registrations and general event registrations. We collect information from you directly to:
      (1) administer your membership;
      (2) administer the Old Cove YC junior sailing program, other junior events, and adult events;
      (3) promote Old Cove YC on our website, social media pages and for use in press releases;
      (4) to consider an application to join Old Cove YC as an employee, volunteer or in some other capacity, and to manage any such relationship.

Do we share your information?

Old Cove YC will not disclose or share any of your personal information to any third party, unless:
      (1) ordered to comply with any legal or regulatory obligation or
      (2) if you ask, to provide any verification of your qualifications or experience or if you refer any person to us to obtain any verification of your qualifications or experience.

Member information is provided for the benefit of membership and per the Old Cove YC House Rules the Club's membership list(s) may not be made available to non-members for any reason. In certain limited situations it may be in our legitimate interests to publish certain personal information about you without asking for your consent, such as publishing race results, mentioning you by name in press releases, articles or on social media. Before publishing such information we will consider the potential impact publishing may have on you, and your rights, and ensure that these are not overridden by our own interests.

How long do we keep your information?

Old Cove YC may keep and process your personal information for as long as necessary to fulfil the purposes we collected it for, or for as long it is necessary to do so for legal reasons. We will review your personal information regularly to establish whether we are still entitled to process it. If we decided that we are not entitled to do so, we will stop processing your personal information to the extent that it is appropriate to do so and securely delete it. In some cases you can ask us to delete the personal information we hold about you. Please see the section below titled your rights.

Where do we store your personal information?

Your information may be held at our offices, or on secure servers either owned by Old Cove YC or by one of our data processing partners. We have implemented generally accepted standards of technology and operational security in order to protect personal data from loss, misuse, or unauthorized alteration or destruction. We will notify you promptly in the event of any breach of your personal data which might expose you to serious risk.

Are “cookies” used on Old Cove YC’s website?

Old Cove YC’s website uses "cookies" - files stored on your computer by your web browser - to optimize your online experience. These files are not linked to personally identifying information and will not be shared with any third party. We also gather anonymous traffic data - including your computer's IP address, browser information, and reference site domain - for the purposes of evaluating and improving our website.

Passwords

Where you have chosen or were given a password which enables you to access to certain parts of the Old Cove YC website, you are responsible for keeping this password confidential. We ask you not to share passwords with anyone. All Old Cove YC passwords are fully encrypted.

Paypal

Old Cove YC does not process any payments on its website, and as a result does not collect, store nor is privy to any of your financial information. All Old Cove YC website financial transactions are processed by PayPal, and information provided to PayPal is not available to Old Cove YC in any form whatsoever. PayPal’s use of your information is governed by PayPal’s privacy policy which is available here.

Regatta Network

To register for sailing events and sailing programs sponsored by Old Cove YC, we require participants to use US Sailing’s Regatta Network online registration and scoring applications. Personal information must be entered on that site to complete event or program registration. Such information is available for use by Old Cove YC consistent with this policy statement and by Regatta Network. Regatta Network’s use of your information is governed by Regatta Network’s privacy policy which is available here or as a link on the registration page.

Your rights

You have the right:
      (1) to access your personal information;
      (2) to have your personal information corrected;
      (3) to have your personal information erased.
Please be aware that erasing your personal information may prevent us from continuing to provide services to you. You can exercise these rights by making a request here. In addition, each email correspondence Old Cove YC may send to you will contain an easy means to opt out of further correspondence.
